Community Guidelines
Rules and standards for content, branding, and conduct on the KBOO platform.
Last updated: February 2026
These Content, Branding & Community Guidelines ("KBOO Community Guidelines") apply to the use of the KBOO – WORK YOUR WAY online platform (the "Platform") and digital services (the "Services"), as further determined and agreed in KBOO's Terms and Conditions of Use ("T&C"), and set forth those rules and standards that shall govern the discloser, upload, sharing, and/or posting of content on the Platform.
By accessing or using our Platform, including when posting content and/or disclosing information through the Platform, you (the "User") agree to be bound by and comply with these KBOO Community Guidelines, the relevant T&C, the KBOO Privacy Policy, as well as any applicable laws and regulations including, but not limited to the General Data Protection Regulation ("GDPR"), and the Digital Services Act ("DSA").
1. SCOPE & PURPOSE
1.1. The KBOO Community Guidelines set the rules and standards that apply to any and all content, information and/or data posted, uploaded, or disclosed by Users on or through the Platform, including job postings, freelancer profiles, communications, comments, reviews, advertisements, or other postings, as may be applicable.
1.2. The KBOO Community Guidelines are designed to ensure that the Platform remains a safe, professional, respectful, and trustworthy environment for all Users. The KBOO Community Guidelines help protect both the reputation of KBOO and all Users, as well as the quality of the experience of all Users (both Clients and Freelancers), reducing the likelihood of miscommunication, fraud, and misrepresentation, while also encouraging professionalism.
1.3. Any violation or non-compliance with the KBOO Community Guidelines may result in User account suspension or termination in accordance with the terms of the T&C, and, ultimately, in criminal charges, depending on the severity of the violation or non-compliance and subject to applicable law.
2. GENERAL CONTENT GUIDELINES
2.1 Accuracy & honesty. Do not misrepresent identity, skills, experience, company affiliation, pricing, or availability.
2.2 Professionalism & respect. Content must avoid harassment, discrimination, hate speech, threats, or abusive behavior.
2.3 Data minimization. Share only personal data that is strictly necessary for an engagement. Do not post sensitive information (e.g., government IDs, health, or banking details) unless lawful and explicitly required.
2.4 Intellectual property. Upload or share only content that you own or are licensed to use. Credit collaborators, where appropriate.
2.5 No spam or manipulation. Prohibited practices include mass unsolicited messages, fake reviews/ratings, keyword stuffing, and attempts to manipulate rankings or search results.
2.6 On-platform safety. All communications and payments must remain on the Platform, as required by the T&C (see §18 Non-solicitation).
2.7 Compliance with law. Content must comply with all applicable laws, these Guidelines, the T&C, and the Privacy Policy.
2.8 Security. Do not upload or distribute malware, spyware, exploits, or attempt to bypass Platform security features.
2.9 Transparency in promotion. Clearly label promotional or sponsored content. Do not imply endorsement by KBOO without prior written authorization.
2.10 Reviews & ratings integrity. Users must ensure that all feedback, reviews, and ratings they provide are truthful, accurate, and based on genuine interactions on the Platform. Fake, manipulated, or incentivized reviews are strictly prohibited.
3. PROHIBITED ACTIVITIES & CONTENT
3.1 Illegal activity including facilitation of crime, human trafficking, money laundering, or distribution of malware.
3.2 Hate, harassment, and violence including slurs targeting protected characteristics, threats, incitement, or glorification of violence or self-harm.
3.3 Intellectual property infringement including unauthorized distribution of copyrighted works, trademarks, or trade secrets.
3.4 Privacy violations such as doxxing, sharing confidential or personal information without lawful basis.
3.5 Deceptive practices including impersonation, fake profiles, fraudulent job postings, phishing, or misleading deliverables.
3.6 Circumvention of the Platform including soliciting or accepting payments outside the Platform or exchanging off platform contact details to avoid Platform fees/safety systems.
3.7 Regulated or dangerous goods/services prohibited by law or the T&C.
3.8 Security abuse including probing, scanning, disrupting, or exploiting Platform vulnerabilities.
4. JOB POSTING GUIDELINES
4.1. General. Clients are responsible for ensuring that all job postings contain descriptions that are clear, professional, and compliant with applicable laws, thus ensuring that job postings are of high quality and transparent for all interested Freelancers.
4.2. Job Description Quality. To guarantee that all job postings meet the appropriate level of quality and transparency, such postings should:
- Provide a clear description and outline of the project / engagement scope, objectives, milestones, and deliverables. Vague or overly general job descriptions can lead to confusion and frustration for Freelancers, thus potentially impacting the quality of the work.
- Specify the expected timeline for the project or engagement, including key deadlines, deliverables and/or milestones.
- Indicate the payment structure (e.g. hourly or fixed price), the payment amount, and the expected payment schedule. Freelancers should know how and when they will be paid.
- List the required and/or preferable skills (including language skills), experience, qualifications, and tools necessary for the project or engagement.
- Clarify if the project or engagement is a one-off project, ongoing work, or temporary engagement, or other as may be applicable.
4.3. Professional Language. To guarantee a safe, professional, respectful, and trustworthy environment for all Users, all job postings must:
- Be free from discriminatory language based on gender, age, race, sexual orientation, disability, or any other legally protected characteristic.
- Use inclusive language that ensures a welcoming environment for all applicants.
- Not contain offensive, harmful, or illegal content (e.g., scams, adult content, hate speech, etc.), as any such type of content is deemed 'prohibited' pursuant to the KBOO Community Guidelines and, therefore, will not be tolerated.
4.4. Compliance with Legal Standards. Clients are responsible for ensuring that all job postings are in compliance with relevant laws and regulations, including data protection regulations, as may be applicable. Clients are also responsible for specifying in each job posting who owns the intellectual property (IP) rights to the work, if any, as neither KBOO nor the Platform shall hold any responsibility for resolving IP-related disputes that may arise between Users. Further, if a project or engagement requires an NDA or any Additional Documentation (as defined in the T&C), any such requirements should be explicitly mentioned in the job description.
4.5. Prohibited Job Postings. The posting of fraudulent or fake projects or engagement opportunities, or anything designed to exploit or deceive Freelancers will not be tolerated and is, therefore, prohibited. Any job postings with unreasonable pay expectations, or that require extensive unpaid work, shall be deemed unacceptable and will, therefore, be removed at the discretion of the Platform. Neither KBOO nor the Platform shall be held responsible nor liable for the removal of any content, including job postings, that are in violation of the KBOO Community Guidelines.
5. FREELANCER PROFILE GUIDELINES
5.1. General. Freelancers are responsible for creating profiles that accurately reflect their skills, level of experience, and professionalism, to build trust with Clients and to set a high standard for the quality of engagements on the platform.
5.2. Accurate and Honest Information.
- Freelancers are responsible for ensuring that all profile information is accurate, complete, and not misleading. Any falsification, exaggeration, or misrepresentation of qualifications, past roles, or experience is strictly prohibited.
- Freelancers are encouraged to write a clear and concise bio that summarizes their skills, qualifications, and experience. Freelancers are advised not to include personal information or data that is unrelated to their professional abilities, or irrelevant for professional engagements, thus limiting the public exposure of their own personal information.
- Freelancers are responsible for listing only real and relevant work experience. The falsification or exaggeration of qualifications or past job roles will not be tolerated. Any misleading profiles may be flagged and, ultimately, lead to account suspension.
- Freelancers are responsible for ensuring that their portfolio is a true representation of their skills and experience. If a piece of work was done in collaboration, Freelancers should note that in the description.
5.3. Professional Communication. In all communications, direct or indirect, verbal or in writing, with the Platform, KBOO, and other Users (both Clients and other Freelancers), Freelancers shall:
- Communicate in a professional, friendly, and respectful manner.
- Maintain a level of professionalism when interacting with Clients and other Users.
- Be clear, honest and transparent about their availability, pricing, skills, experience, and expectations.
5.4. Prohibited Content. To guarantee a safe, professional, respectful, and trustworthy environment for all Users, and high-quality engagements, Freelancers shall:
- Avoid posting, disclosing or sharing personal, confidential, proprietary, or sensitive data about themselves or others (including Clients and other Users), unless explicitly required for a specific project or engagement.
- Not use offensive, inflammatory, or inappropriate content or language in their profile, or any reviews or comments, nor any type of content or language that violates the KBOO Community Guidelines, including unsolicited messages to other Users.
- Not making any false or misleading claims or including any false or misleading information in their profiles.
5.5 Responsibility for Updates. Freelancers are responsible for keeping their profiles accurate and up to date. Outdated or inactive profiles may be restricted or removed by the Platform to ensure integrity and trustworthiness.
6. COMMUNICATION GUIDELINES
6.1. Respectful Communication.
- All Users are responsible for engaging in a constructive, professional and respectful manner.
- Personal attacks, harassment, offensive remarks, or discriminatory comments will not be tolerated.
- Tone: Maintain respectful language even when providing negative feedback or discussing disagreements. Both freelancers and clients are expected to communicate politely, even if a project does not meet expectations.
- Timeliness: Users are expected to respond to project-related communications promptly and within a reasonable time, as communication is key to managing expectations and building positive relationships.
6.2. Platform Messaging Rules.
- On-Platform First. All communications between Freelancers and Clients must take place through the Platform's messaging tools, unless a project has been confirmed and sharing external contact details is strictly necessary for the performance of the work.
- No Circumvention. Users may not share contact details for the purpose of bypassing the Platform's payment or safety systems, in line with the Non-Solicitation Clause (T&C §18).
- Prohibited Conduct. Spam, unsolicited advertising, phishing attempts, or inappropriate messages are strictly prohibited.
- Reporting Inappropriate Communication. If you receive threatening, abusive, discriminatory, or otherwise inappropriate communication, you must report it immediately through the Platform's reporting tools. KBOO will investigate under the Notice-and-Action system (T&C §7.2) and take appropriate action.
- Confidentiality. Users must not disclose or request sensitive personal data (such as identification numbers, payment details, or private contact information) through messages unless strictly necessary for the engagement and in compliance with applicable data protection laws.
- Security. Users must not share, solicit, or exchange login credentials, passwords, or other sensitive authentication data through Platform messages.
7. PLATFORM BRANDING GUIDELINES
7.1 Use of KBOO Branding.
- Users may not use KBOO's name, logo, trademarks, or branding without prior written authorization from KBOO.
- References to KBOO in external materials (e.g., portfolios, websites, CVs) may only be made in a factual and non-misleading manner (e.g., "Project completed through the KBOO Platform").
- Users must not imply endorsement, partnership, or employment by KBOO unless explicitly authorized in writing.
7.2 User Branding on the Platform.
- Freelancers and Clients may use their own professional logos, brand names, and trade names in their profiles or job postings, provided that such use is accurate, lawful, and not misleading.
- Branding content must comply with these Community Guidelines (e.g., no offensive, discriminatory, or infringing material).
- Use of third-party brands or logos in profiles or postings is only allowed if the User has the right to do so (e.g., portfolio references with proper attribution).
7.3 Prohibited Branding Practices.
- Misuse of KBOO's branding, or impersonation of KBOO staff, is strictly prohibited.
- Fake endorsements, manipulated reviews, or misleading references to Clients/Freelancers/Projects are not allowed.
- Advertising or promoting external platforms, services, or businesses in a way that encourages Users to circumvent the KBOO Platform is prohibited.
8. ENFORCEMENT
8.1 General. KBOO reserves the right to monitor, review, and assess all content, profiles, and communications on the Platform to ensure compliance with these Community Guidelines, the T&C, and applicable law.
8.2 Enforcement Measures. Depending on the severity, frequency, and intent of the violation, KBOO may apply one or more of the following measures:
- Warning or reminder about the violation and guidance on corrective actions.
- Content removal or restriction (e.g., deletion of job postings, profiles, comments, or messages).
- Temporary account suspension restricting access to some or all Platform Services.
- Permanent account termination in case of severe, repeated, or intentional violations.
- Referral to authorities where violations involve illegal content or activities (e.g., fraud, harassment, intellectual property theft).
8.3 Notice of Action. Users will be notified promptly of any enforcement decision affecting their content or account. Notifications will include:
- The specific content or conduct at issue;
- The reasons for the action taken;
- The applicable appeal or complaint mechanism available to the User.
8.4 Appeal & Complaint Handling.
- Users may appeal enforcement decisions through the internal complaint-handling system described in the T&C.
- Appeals must be submitted within [15] calendar days from the date of notification.
- KBOO will review appeals in good faith and provide a written response with the outcome.
8.5 Misuse of Enforcement Systems. Users must not abuse the notice, reporting, or complaint systems (e.g., by submitting manifestly unfounded or malicious reports). Abuse of these systems may itself lead to suspension or restriction.
8.6 No Liability. KBOO is not liable for any consequences resulting from enforcement actions taken in good faith to maintain the safety, integrity, and lawfulness of the Platform.
9. REPORTING VIOLATIONS
9.1 Users can report any content, behavior, or activity that violates these Community Guidelines, the T&C, or applicable law through the Platform's reporting tool or by contacting [email protected].
9.2 All reports will be handled promptly, impartially, and confidentially in accordance with the Notice-and-Action system (T&C §7.2). KBOO may request additional details if needed to assess the report. Users who submit reports will be informed of the outcome, while Users affected by enforcement decisions will be notified with reasons and appeal options.
10. UPDATES TO GUIDELINES
10.1 KBOO may amend or update these Community Guidelines from time to time to reflect legal, regulatory, or operational changes. Any material updates will be notified to Users, and they shall become effective on the date specified in the notice, but no earlier than [15] days after their publication on the Platform or notification to registered Users, unless otherwise required by law.
